Introduction
This privacy statement explains how Eastcliffe Retirement Village manages the personal and health information we hold. It explains what information we collect, why we need it, how we’ll use it and who we might share it with. It also explains how we protect personal and health information and your rights to access or correct the information we hold about you.
Here at Eastcliffe we are committed to caring for your personal and health information as well as we care for you. We comply with the requirements of the Privacy Act 2020, as well as the Health Information Privacy Code 2020.
Most of the personal information we collect, use, store and share is about our residents. We also handle personal information about other people we interact with, such as visitors to our village and website, and individuals that we do business with.
We may update this privacy statement from time to time, to reflect changes to privacy law or our operations. This privacy statement was last updated in November 2024.
What personal information we collect
Depending on our relationship with you and/or the type of services we are providing to you we will collect different types of personal and/or health information.
If you are a resident (or have applied to become a resident) we need to collect personal and health information from and about you so that we can deliver quality retirement village and aged care services.
The types of information we collect about you may include:
- Personal information such as your date of birth and contact details (including email)
- Health information (including information about your medical history, medication and prescription details, clinical notes and health services that have been or are being provided)
- Financial information, such as your bank account details
- Information about any of your authorised representatives, including copies of enduring powers of attorney
- Details of any communications between us, and
- CCTV footage captured on our site
We collect most of this information directly from you, but may also collect information from third parties which have your authorisation to share this with us or where we have a lawful right to collect it. These third parties may include your family members, your medical providers (such as your GP or a hospital), the Needs Assessment and Service Coordination Service, or other referring agencies.
We sometimes collect information about residents, such as photographs, to use in marketing and promotional material (such as on our website or social media). We will only do this with your express consent.
We also collect personal information about people who visit our village, such as friends and family, as well as service providers.
If we interact with you because we are doing business with you (e.g. you are employed by one of our suppliers) we may collect some personal information about you such as your name and work contact details.
We may also collect personal information about you when you communicate with us, including via social media, email or our website, or when you sign up to receive our newsletter.
We collect information about how people use our website using cookies and other analytics tools, but this information is not identifiable.
How we use your personal information
If you have expressed interest in becoming a resident we will use your personal information such as your email address to send you relevant marketing information, unless you tell us not to.
If you have applied to become a resident we will use your personal and health information to assess your application and communicate with you.
If you are a resident, we will use your personal and health information to help us deliver you quality retirement village and aged care services, as well as to ensure health and safety for all in the village. To meet these purposes, we may use your information:
- To provide you with the services you are entitled to, including health care services
- To manage your residency with us (including managing billing and arrears processes)
- To ensure the safety, security and wellbeing of residents and staff
- To communicate with you and/or your representatives
- To respond to any complaints, and
- For any other purpose where we are required or authorised by law to do so.
If you are a visitor to the village we will use your personal information for security, health and safety purposes, and if you are a supplier or contractor to us we will also use your personal information to manage our contractual relationship.
When we disclose your personal information
In order to meet the purposes for which we collect personal and health information, we may need to disclose information to third parties from time to time.
If you are a resident, we may disclose personal information about you for the above purposes to:
- Anyone you authorise us to share information with (such as health care providers, family members, or holders of a relevant power of attorney)
- Our trusted partners who provide us with professional services (such as providers of IT, legal and auditing services)
- Government and regulatory authorities where required or authorised by law, and
- Any other third party where we are required or authorised by law to do so (for example, in an emergency medical situation)
How we protect your personal information
We store all personal information we collect in secure systems that can only be accessed by the right people when they need it to do their job. We use secure cloud platforms to store and process information. We retain personal information only for as long as the law requires us to, or we otherwise need it.
We take all reasonable steps to protect the personal information we hold from loss, misuse or unauthorised access, modification or disclosure, including:
- Providing our employees with training on good privacy and information security practices
- Regularly security testing our systems and platforms to ensure they are up to date and protected, and
- Requiring all our employees to sign a confidentiality agreement
You can access or correct your personal information at any time
